Who we are
unify is two companies. Unify AI Group Inc. is a Delaware corporation, with its registered office at 850 New Burton Road, Suite 201, Dover, Delaware 19904, United States. Its subsidiary, Unify AI Ltd, is registered in England and Wales as company 13822226, with its registered office at 71-75 Shelton Street, Covent Garden, London WC2H 9JQ, United Kingdom. Unify AI Ltd is registered with the Information Commissioner’s Office under number ZC084805.
The two companies share the records this notice describes and decide together how they are used, so both are responsible for your data, as joint controllers. Unify AI Ltd answers requests about it for both, and you can make a request to either. Write to privacy@unify.ai, or by post to Unify AI Ltd at the London address above.
Our contacts database
We keep one database of the people we have dealt with and of people we may want to talk to about our work, such as investors, researchers, and founders and engineers who build AI agents.
What it holds about you can include your name, email addresses and phone numbers, your profiles on sites such as LinkedIn, GitHub and X, where you work and your role, where you studied, roughly where you are based, sometimes your date of birth or an estimate of it, and how you are connected to us: for example as an investor or shareholder, a user of our products, a contributor to our code or someone who applied to work with us. It also keeps a record of our dealings with you: when we wrote, spoke or met, whether you replied, the first lines of your messages, what you asked of us, summaries of our meetings, any notes our team has written, and whether you have asked us not to contact you.
We use it to remember whom we have dealt with, to find the people we would most like to talk to, and to prepare before we write to or meet someone. AI models help us keep it. They read the start of each reply to judge its tone and what it asks of us, and they estimate where people are based and what they do. From this we score how close we are to people and how likely they are to be near San Francisco, to choose whom to contact first. No decision with a legal or similarly significant effect on you is made by software alone.
Our legal basis is our legitimate interest in running and growing the company, which needs a record of the people it deals with and a way to find the people it would like to work with.
Where it comes from
Some of what we hold you gave us, when you wrote to us or met us, invested in us, worked with us, applied to work with us, signed up to our newsletter or used one of our products. The rest comes from:
- people who introduced us to you;
- our own mail, calendars, meeting notes and messages, and the contacts and LinkedIn connections of Dan Lenton, our founder;
- Apollo and People Data Labs, data providers whose data we license, which tell us people’s work email addresses and phone numbers, where they work and are based, and which profiles they publish;
- public sources, such as Y Combinator’s public company directory, company websites, and the professional profiles people publish, for example on LinkedIn;
- this site’s logs.
If you ask, we will tell you where we got your details. You never have to give us any, though without them we may not be able to reply to you or work with you.
Writing to you
We write to people we think will want to hear about our work, mostly founders and engineers who build AI agents, and investors. Most of it is email from Dan Lenton: a single message, or a thread of up to three. We also send some email campaigns through Smartlead, and write to people on LinkedIn and X, which handle those messages under their own privacy policies. Our newsletter, The Deep Dive, last went out in August 2024; in 2023 we added to its list people who had applied to work with us, used our platform or received our emails in 2022, and each issue let them unsubscribe.
If you reply asking us to stop, or write to privacy@unify.ai, we stop, and we keep your address on a list of people not to contact so that we do not write to you again.
Our legal basis is our legitimate interest in telling people about our work.
Meetings
When we meet you on Google Meet, we may have Meet record or transcribe the call and Gemini, Google’s AI assistant, take notes. Meet tells everyone on the call when any of these is on, and you can ask us to turn them off. We keep the recordings, notes and transcripts in our shared drive with the company’s other records.
From June 2023 to August 2026 we used Fireflies to record and transcribe calls. We keep the transcripts of those calls in the same place, and Fireflies still holds the recordings.
Our legal basis is our legitimate interest in remembering what was said and agreed.
This site
This site sets no cookies and runs no analytics or other code from third parties. Like any web server, it logs each request it receives: your IP address, your browser, the page you asked for and when. Google Cloud, which hosts the site, keeps these logs for 30 days, and we use them only to keep the site working and secure.
Our legal basis is our legitimate interest in running a website that works and is secure.
Who else handles it
These services hold or process personal data for us:
- Google: our email, calendars, video calls and the notes Gemini takes in them, our shared drive and contacts (Google Workspace), and the contacts database, our file storage, and this site and its logs (Google Cloud).
- Anthropic: its Claude models run the AI agents that help us run the company. They read our mail, the contacts database and meeting notes, and look people up on the web. Some of them run on Claude’s consumer plans, where Anthropic handles what they read under its own privacy policy.
- OpenAI and Cursor: coding assistants our team uses, which can read our code repositories.
- Apollo and People Data Labs: we send them names, email addresses and employers so that they can match them to their records. Apollo’s terms let it add what its customers send it to the database it offers others.
- LinkedIn: we look some people up in Sales Navigator, so LinkedIn sees whom we search for.
- Smartlead: sends our email campaigns and keeps a record of them, including who asked us to stop.
- Cal.com: takes bookings for meetings with us.
- Fireflies: holds the recordings of the calls it took for us from 2023 to 2026.
- Substack: holds the mailing list of our newsletter, The Deep Dive.
- Slack: holds our team’s messages and our shared channels with other companies.
- WhatsApp: holds our chats with the people we deal with.
- GitHub: hosts our private code repositories, some of which hold copies of our records and documents, and of our agents’ work, which quotes our mail.
We also share personal data between the two companies, with our professional advisers when they need it, with authorities when the law requires it, and with a buyer if the company is ever sold.
Outside the UK
Our team works from the UK, the US and elsewhere, and most of these services are run by US companies, so your data is handled outside the UK. UK law treats US companies certified under the UK-US data bridge as protecting personal data adequately, but not every country our team works from has such a finding. Where no such finding covers a transfer, we use the EU’s standard contractual clauses with the UK’s addendum, which we are putting in place with the services and people involved. Write to privacy@unify.ai to find out which applies to your data, or for a copy.
How long we keep it
We keep the contacts database, our mail and our meeting notes for as long as the company runs, since they are its record of whom it has dealt with and what was said. That includes the people in the database we have not yet been in touch with.
If you ask us not to contact you, we keep your address on our do-not-contact list for good, so that we do not write to you again. The site’s logs are deleted after 30 days, and Fireflies keeps its recordings until we close our account there.
Your rights
You can ask us, free of charge, to:
- tell you what we hold about you and where it came from, and give you a copy;
- correct anything that is wrong or incomplete;
- delete it, unless we need it to meet a legal obligation or for a legal claim. We keep a note that you asked, so that we don’t add you again, and we keep the emails we exchanged with you, and our agents’ records of reading them, as our record of what was agreed;
- stop using it while a question about it is settled;
- send it to you or to someone else in a machine-readable form, where the law gives you that right.
You can object at any time to our using your data for our legitimate interests, and we will stop unless we have compelling grounds to carry on that outweigh yours, or need the data for a legal claim. If you object to our writing to you, we will stop, without exception. Where we rely on your consent, you can withdraw it at any time.
Write to privacy@unify.ai. We may ask you to confirm who you are, and we will answer within a month.
If you are unhappy with how we have handled your data, you can complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint or on 0303 123 1113, or, if you are in the EU, to the data protection authority where you live.
